General Information

All transportation vouchers issued by American Airlines or American Eagle® are valid for travel on:

·         American Airlines, American Eagle

·         American codeshare flights (AA*)

·         oneworld® itineraries where American or American codeshare flights (AA*) is the international carrier.

o   including oneworld® affiliates (must be booked as a codeshare flight marketed by a oneworld carrier)

o   Note: For oneworld itineraries, international flights are defined as transatlantic, transpacific and flights to and from South America. Flights to and from Alaska, Canada, Mexico, Caribbean, or Central America are not included.

 

Travel agents may accept American Airlines vouchers (040/042/043) for full or partial payment for a ticket as an "exchange" document/ticket. 

 

 

Exchanging a Voucher for a New Ticket

·         The 13-digit voucher number is indicated in the EXCH box. 

·         The automated endorsement verbiage will transmit to the new ticket.

·         This endorsement verbiage should not be altered and does not need to include any other required wording associated with the Fare Basis Code (FBC).

Example of an endorsement when using a voucher as the exchange document:

ENDORSEMENTS/RESTRICTIONS – VALID ON ANY ONEWORLD CARRIER ONLY

·         ARC/IAR: May use up to two (2) vouchers as a form of payment; refer to ARC Agency Help Desk for assistance in applying 2 vouchers to an agency ticket.

·         BSP: Only one (1) voucher can be used as a form of payment.

·         There is no change fee associated with using a voucher.

·         If the voucher is less than the ticket, the additional monies are collected.

·         If the voucher exceeds the ticket cost, a residual is applicable. Refer to residual value information below.

 

 

Residual Value

When the passenger has a Transportation Voucher issued to them by AA and provides the voucher to their travel agency for the purchase of a new ticket of lower value for themselves or someone else:

 

ARC/IAR

·         any remaining value less the change fee may be submitted on an MCO in the name of the customer who originally received the voucher.

BSP

·         any remaining value may be submitted on an RA for a transportation voucher issued in the name of the customer who originally received the voucher.

Vouchers Are Non-Transferable

Vouchers are non-transferable. However, the voucher owner may present and use the voucher toward the purchase of a ticket for anyone, as a form of payment. If a voucher is applied to a ticket of lower value, the remaining monies will be issued to a voucher in the same name as it appears on the original voucher as the voucher is non-transferable. You can find residual value information on this file if needed.

·         Paper vouchers must be presented in person by the individual named on voucher.

o   If someone other than the voucher owner presents the voucher, then the names on the voucher and the ticket must match.

o   Parent/guardian can assist with ticketing when the voucher is in the name of a minor.

Voucher owner deceased: Vouchers issued in the name of the deceased are ineligible for refund and as they are non-transferable, cannot be issued in someone else's name.

 

Filing the Voucher

Once the voucher is applied to a new ticket, the agency will file the voucher for auditing purposes. Put a diagonal line across the voucher and write the 001 ticket number on the voucher. Agency must keep the paper voucher on file for a minimum of 3 years.

 

 

Additional Terms and Conditions

·         Vouchers are valid for 1 year from the original date of issue.

·         Ticketing must be done on/before the voucher expiration date.

·         Vouchers are valid to purchase initial tickets only.

·         Tickets should be issued on 001 ticket stock.

·         The voucher owner can use it to purchase a ticket for someone else.

·         There is no point of origination restrictions.

·         Blackout dates on travel vouchers are not applicable.

·         Transportation vouchers are tax exempt.

o   Exception - vouchers with code OU are taxable.

·         Document assembly may be found in the ARC Handbook section 6.0.

·         No cash refunds.

·         Lost or stolen vouchers will not be replaced.

·         Vouchers may be accepted in any currency and must be converted to the currency of the ticket being issued.

 

 

 

Not Accepted for

Vouchers cannot be used to any of the following:

·         Any Bulk/ IT/ Tour Operator/ opaque fares

·         Tickets through an internet agency including Hotwire, Expedia, Orbitz, Priceline, and Travelocity or any opaque fares.

·         AA credit card payments.

·         To pay fare difference on a ticket reissue.

·         Admirals Club initiation charges, annual member dues, day passes or replacement Admirals Club cards.

·         Airline fares other than AA/AA* codeshare

·         Alternate transport such as Air Cargo Waybills, Priority Parcel Service or Air Transport Program (ATP)

·         Baggage Charges for Excess/Overweight/ Oversize or Prepaid baggage

·         Sport Items charges for items that are considered excess baggage

·         Infant ticket, related taxes, or charges

·         Inflight amenities such as food purchases

·         Gift cards or MCOs

·         Load Factor Based Upgrade (LFBU)

·         UMNR (Unaccompanied Minor) charges.

·         Payment of tangible non-transportation services such as inflight oxygen, Inflight Entertainment, or other ancillary charges, etc.

·         Purchases of tangible products such as pet kennels, gun cases, bike boxes, replacement Admirals Club cards, tourist cards, etc.

·         Same Day Flight Change

·         Seats - Preferred and Main Cabin Extra

·         Taxes and fees when *only* taxes and/or fees are being additionally collected, i.e., AAdvantage award ticket.

·         Tourist Card Purchase
