For voluntary changes, the ticket must be reissued when the itinerary is rebooked. If applicable, the fare difference and penalty must be collected.
When there is a residual amount and a penalty applies, the penalty must be deducted by the agency when exchanging the ticket.
Unless the fare rule specifies otherwise, American expects tickets to be reissued at the time of the change. This policy helps ensure passengers are ready-to-board on their departure date, enhancing the overall customer experience.
To assist agencies, American has automated reminders about reissue deadlines for voluntary ticket changes, a message will be reflected on the agency’s GDS.

Note: Ticket reissues must be complete no less than 2 hours prior to departure time of the flight being ticketed.
All AA/001 tickets are non-transferrable. Tickets cannot be exchanged for another ticket issued in another passenger's name.
Commission taken on the original ticket must be returned and the applicable commission for the new itinerary should be calculated.
Non-Refundable Ticket Exchanges
· Only one non-refundable valid ticket may be applied towards the purchase of another ticket for the same customer.
· The original ticket number should be indicated in the exchange box in your Reissue/Exchange tool.
· The new travel must commence before original ticket expiration date
Example: Ticket issued on August 1, 2024 - New ticket travel must commence no later than August 1, 2025 (the return can be on a later date)
· Non-refundable fare tickets may be exchanged for another non-refundable or a refundable fare ticket.

· The applicable penalty may apply on non-refundable ticket exchanges and is deducted from the residual value.
· Per the fare rule restrictions, ALL non-refundable tickets reissued, must indicate the following in the endorsement box refer to the fare rules Category 18 for details:

Residual Value
· If the original non-refundable ticketed fare is of higher value than the new-ticketed fare the customer is entitled to the residual amount, unless stated otherwise in the fare rule.
· Guidelines for US agencies can be found in Miscellaneous Charge Order (MCO)

Non-Refundable to Refundable Ticket Exchanges
· Whenever a non-refundable fare ticket has been applied to the purchase of a refundable fare ticket, a non-refundable notation must be made in the endorsement box of the new ticket. The original non-refundable value remains non-refundable for any subsequent reissues.
· If the original non-refundable ticketed fare is of higher value than the new refundable fare, the customer is entitled to the residual amount through an MCO or BSP Residual Refund Application, unless otherwise stated in the fare rule.
o The new ticketed fare is non-refundable and all rules and restrictions apply
· If the original non-refundable ticketed fare is of a lower value than the new refundable fare, the non-refundable portion remains non-refundable, and any monies collected for the difference of the refundable fare will remain eligible for refund to the original form of payment.
· Any partial refund due to schedule change or irregularity, etc. can be processed by American. Refer to refunds.aa.com

Refundable Ticket Exchanges
Refundable fare tickets, may be exchanged for another refundable or non-refundable fare ticket
Refundable to refundable
· If the new fare is lower than the original refundable ticket, the customer is entitled to a refund to the original form of payment.
· If the new fare is higher than the original refundable ticket, an add-collect will apply.
· The ticket remains refundable.
Refundable to non-refundable
· If the new non-refundable fare is lower than the original refundable ticket, the customer is entitled to a refund to the original form of payment
o The endorsement box must be annotated with NONREF
· If the new non-refundable fare is higher than the original refundable ticket, an add-collect will apply.
o The endorsement box must be annotated with NONREF
If the ticketed reservations are canceled prior to the ticketed departure time, the ticket will be valid as follows:
· Wholly unused tickets - Travel must commence within one year from the original ticket issue date.
o Example: Ticket issued on August 1, 2024 – last day the new travel must commence is August 1, 2025 (the return can be on a later date)
· Partially used tickets - Unless otherwise specified in the fare rule, travel must be completed within one year from the outbound travel date.
o Example: The outbound (first segment) was flown on July 7, 2024 – the return (last flight segment) should be scheduled to depart no later than 11:59 P.M. on July 7, 2025
· Fare difference and applicable penalties must be paid, and tickets must be reissued when the itinerary is rebooked

(“Cancel or lose it” rule)
· To make changes or cancellations on a non-refundable, changeable ticket, customers must cancel their itinerary before the scheduled departure time.
· Customers who no-show a flight without canceling their flight reservation will lose the value of the remaining coupons.
· If an agency books a new itinerary and reissues the ticket but fails to remove the original itinerary, a no-show may occur, leading to the suspension (NOGO/SUSP) of the current ticket and automatic cancellation of the remaining itinerary.
· If a no-show occurs but the ticket remains open (OK/OPEN status), agencies can still reissue the ticket before it becomes suspended (NOGO/SUSP) no waiver code needed.
· Once a ticket’s status changes to NOGO/SUSP, the AA Agency support team cannot remove this status, the ticket is no longer valid.
Partial Exchange Reminder
When processing a partial exchange of a non-refundable ticket to a new ticket of equal/greater value, the new ticket must reflect the value of the used portion of the original ticket plus the value of the new ticket.
U.S. Agencies processing through ARC:
· Box "A" of the REN should reflect this same amount.
International Agencies processing through BSP:
· The partially used portion should appear on the new ticket
When exchanging tickets, American now allows changes to the country of origin, even if the base fare currency differs between the original ticket and new itinerary.
Note: Some fares have country restrictions, which do not allow a change to country of origin when exchanging tickets. Verify the fare rules display or contact our Tariff department for questions.
